What They Do

They handle all parking services on campus for special events. They approve reservations for parking spaces to accommodate special events, distribute visitor parking passes, assign LUKE coupon codes, assist with specialized campus parking maps and provide event greeters.

Request Parking Passes for Your Visitors

Departments who wish to request a parking pass for their guest should submit their request here. These forms must be submitted at least two business days in advance to guarantee fulfillment. Visitor parking request forms are for guests or events that have less than 20 people and solely need parking permits. Any events that have more than 20 people, require a greeter, a Comet Cab, or any event requiring the use of a LUKE coupon code must fill out an event form.

Request Parking for Your Special Event

Departments who wish to request a parking pass for their special event must fill out an event registration form. An event registration form is required for any request that:

Special event forms must be submitted at least 10 business days in advance to guarantee parking arrangements can be made. Special event parking is allocated on a first-come, first-served basis and we cannot guarantee that parking will be available for large events when submitted on a busy day, or at the last-minute.

Parking spaces can be reserved for your event. To reserve parking, an Event Greeter is required. An Event Greeter is responsible for blocking off your parking spaces, opening spaces as your guests arrive, ensuring guests are aware of parking rules and regulations, assisting with LUKE coupon code entry, and directing your guests to the correct building. Greeters may be supplied by your own department by utilizing your own staff members, but Parking Services also can arrange Greeters for you.

The price to reserve an Event Greeter is:

  • $13.00/hour per greeter for weekday service
  • $15.00/hour per greeter for weekend service

Transportation Services

What They Do

They can assist with arranging charter transportation off-campus via University approved vendors. They also arrange on-campus special event shuttling from remote parking lots to event locations, campus tours, and point-to-point transportation via the Comet Cab shuttle service.

Arrange Off-Campus Charter Transportation for Your Special Event

Transportation Services can help you arrange transportation for your local event, group travel, airport transfers, or mini-tour. Buses used for event transportation are not supplied by UT Dallas, but are chartered through University approved vendors. Transportation Services must approve all campus shuttle routes and charter bus pick-up and drop-off locations, and any bus parking on campus.

Arrange On-Campus Shuttle Service for Your Special Event

Transportation Services can help you arrange transportation for your on-campus event. This includes shuttling guests from remote parking lots to the event location, conducting campus tours, and providing point-to-point transportation on campus. Comet Cabs are utilized for on-campus shuttling. To reserve a Comet Cab shuttle, a Transportation Services driver is required. Drivers cannot be supplied by your own department; only Transportation Services drivers are allowed to operate shuttles.

The price to reserve Comet Cab service is:

  • $18.00/hour per driver for weekday service
  • $20.00/hour per driver for weekend service

Some transportation events require an Event Greeter. Event Greeters may be supplied by your own department by utilizing your own staff members, but Parking Services also can arrange Greeters for you.

  • $10.00/hour per greeter for weekday service
  • $12.00/hour per greeter for weekend service

When shuttling from remote lots, you may also request an event tent or a 25-foot flag to mark the gathering place for event attendees, making it clear where to go once guests arrive to campus using their designated entrance and parking lot assignments. An event greeter is required for this service.

When shuttling for campus tours, please note that vehicular traffic is not allowed on some areas of campus. Due to this, be sure to include a list of buildings or landmarks you would like to be highlighted in the tour so a shuttle route can be designed. Transportation Services must approve all campus tour routes. The Comet Cab Driver cannot act as a driver and a tour guide. You can also request an Event Greeter to conduct the speaking portion of your tour.

When shuttling for on-campus point-to-point transportation, please note that vehicular traffic is not allowed on some areas of campus. Due to this, be sure to include an itinerary of pick-up and drop-off locations and times so a shuttle route can be designed, and your shuttle service can be properly scheduled. Transportation Services must approve all campus shuttle routes and pick-up and drop-off locations.
